Clinical System change – Check your online access

Online Records Access and using the NHS App

Patient Access will no longer work for you after 29th May 2024. You will need to change to the NHS App to view your medical records online.

When the surgery changes from Emis to SystmOne for our patient records IT system, you may lose your NHS app data.

This will be due to the level of security and the ID information you gave when you set the NHS app up for the first time.

If you used a linkage key from your account here at the practice this will not work after we change clinical systems.

To enable you to have full access after we change systems, you will need to set up your ID in the NHS app.

How will I know if I need to add ID to my NHS app?

If you have not proven who you are, you’ll see a message after you log in to the NHS App or through the NHS website. It will ask you to prove your identity to get full access.

If you do not see this message, you already have full access. This should mean your records will reappear the NHS app within 2 weeks of the system changes.

What do I need to prove who I am?

You will be asked to:

  1. Take a photo of your ID – driving licence or passport works best.
  2. Record your face using your device – this is a short video which will be used to check against your ID.

You may be asked for your NHS number, don’t worry if you do not have this as the app can still register you. To find your NHS number you can check online here  Find your NHS number – NHS (www.nhs.uk)

If you do not have your NHS Number. You may also be asked for more details to help find your NHS record, like your date of birth or postcode.

What if I do not have any suitable ID?

You will need to contact the practice after 7th June 2024. We will be able to reset your information, but this could take several months for the team to manage as we may receive a significant number of requests. We have almost 8000 patients eligible for online access, manually switching people on would take a significant amount of time.

How do I find out more information?

You can find out more information and access the NHS app help pages here Proving who you are to get full access – NHS App help and support – NHS (www.nhs.uk)

I am getting an error message when I try to connect, what do I need to do?

Be persistent! The app can take a few attempts to locate your record on the new clinical system.

If you have any concerns or queries or you need to be reset – please email the practice at Barnfieldhillsurgery@nhs.net
